What is the Blue Form?

The Blue Form is the Internet's first and leading enterprise level service for creating and managing forms for your organisation. Create common business forms such as expense forms, timesheets, leave forms or any you can think of using our simple drag-and-drop form designer. The Blue Form allows complete control over the form workflow, allowing you to select approvers, and keep track of the form after it has been filled-in. Forms may be approved by multiple people, and data is on record permanently and available for reports.

How much does it cost?

The Blue Form provides a free 30 day trial, so that you may assess what The Blue Form can do for your organisation. How safe is my data and how reliable is the service?

We realise that your data is everything to your organisation. We pro-actively monitor The Blue Form around the clock, to ensure a fast, secure and stable environment whatever your time zone. We protect your data in the following ways:

  • 128 bit Data encryption (SSL): protecting your credit card details from malicious external attacks.
  • Daily Offsite Backups: protecting your data from accidental loss.
  • In accordance with our own ethical standards, the Australian Privacy Act (2000) and Australian law, we keep all your data strictly confidential.

Does the Blue Form offer any value to schools or other educational institutions?

Yes, very much so! Some of our biggest customers are schools, as we are able facilitate communication between staff, students and parents, permanently on record. Forms may be submitted by parents, passed on to teachers and then co-ordinators, allowing data from across an entire school to be collaborated.

We also offer a range of pre-defined form templates such as teacher meeting requests, excursion permission slips, and report receipt confirmation designed explicitly for use within schools and educational institutions.

How does the Blue Form work?

The Blue Form has been designed with simplicity in mind. You can get up and running within a matter of minutes by following these simple steps:

  • Start your free trial and wait for your confirmation email.
  • Sign in to the site and create user accounts for the other people in your organisation. You can assign people to different groups.
  • You can now design your forms, specify how many approvers each form will need and who those approvers will be.
  • That's it! You're done. The users you registered can now start filling out your forms. Whenever an approver needs to approve a form, they will receive an email with a link to the form. The form will also be visible as soon as they sign in.

How do approvers work?

Each time you design a form, you must specify what the approval workflow will be for that form. For example an expense form may need approval by a person's line manager and then again by the organisation's financial controller. The way you make the workflow work is entirely up to you, and is done effortlessly using our graphical interface, showing exactly what happens to a form once it has been filled-in.

You may specify up to three approvers for a form. An approver may either be:

  • a specific user
    (e.g. the organisation's CEO)
  • any user from a specified group
    (e.g. a group of people working in the accounts department, any of whom may approve the form)
  • a user that is selected from a drop-down list on the form each time it is filled-in
    (e.g. a drop-down list of line managers)

What happens after form is filled-in?

Depending on the workflow (see above), the appropriate approver is notified. If no approvers were specified, the form is automatically closed. The data may be viewed, or reported on at any time.


How do approvers know there is a form for them to approve?

Each time an approver needs to action a form, they are notified by email. The approver is notified as soon as they sign-in also. In the near future, The Blue Form will be offering SMS notification also!


What happens when an approver approves a form?

The next approver in the workflow is notified. At the end of the line, the form is closed and an email is sent to the person who filled it in notifying them.


What happens when an approver rejects a form?

The approver may reject a form, and provide comments as to why it was rejected. The form's status is set to 'rejected' and it is sent back to the person who filled it in. That person may then change the form and re-submit it or it may be cancelled.


What happens if an approver is unable to approve a form?

If an approver is unable to approve a form for any reason, Administrators may take ownership of forms, and approve them in place of the approver.


Once somebody fills out a form, who has access to it?

The following people have access to view forms:

  • The person who filled-in the form will always have access to view it. If it is rejected by an Approver, they will have a chance to modify the data.
  • Users who need to approve a from have access. It is always read-only, but additional comments may be added and the form can either be approved or sent back to the initiator (rejected).
  • Users who are members of the "Administrators" group have access to every form in the system. The forms are read-only, unless an Administrator decides to take ownership of a form in place of an Approver who is unable to action the form.

Can I search for forms?

The Blue Form supports searching by a variety of search criteria.


May I export data out of the system?

Yes you can! Administrators may export all form data into a CSV file.


Does the form builder support calculated fields?

Yes it does. You can enter formulae into fields, (similar to a spreadsheet) and field values will be calculated automatically based on the values of other fields on the form.
